Overview
The Senior Admissions and Agent Coordinator is a senior position within the International Admissions Centre (IAC) with three core responsibilities, remuneration, reporting and agent contract management.
Intermediate excel capabilities and outstanding attention to detail are essential to this role.
Key responsibilities
Remuneration
The post holder will act as the key liaison with college and head office finance departments to ensure commission payment are made accurately and on time. This requires you to:
- Carry out accurate data collection and analysis of student fees to generate agency commissions statements and calculate payments.
- Calculate commission payments for a high volume of agents on a quarterly basis and in a short time frame.
- Liaise with college Finance and Sales team to verify these commission figures and rates.
- Schedule agent commission payments for finance
- Production of journal entries relating to commission cost.
- Provide timely response to all agents and sales enquiries on agent payment.
Reporting
The post holder is responsible for creating weekly excel reporting which play a pivotal role in sales reporting, forecasting and termly commission payments. You will be required to:
- Use college databases to export large data sets which form the basis of weekly sales reports.
- Work with existing report formats and create ad-hoc reports on a regular basis.
- Have intermediate excel skills and to be capable of using spreadsheets efficiently and autonomously.
- Be able to write and interpret nested IF formulas with multiple conditions, creating graphs and pivot tables in order to perform calculations and create the automation needed to process large volumes of data.
- Be able to identify and correct errors in formulas.
- Deliver clear and accurate analysis of student data to support the Global Sales Team.
Agent Contract Management
The post holder will be responsible for maintaining an up to date and accurate agent database. This requires you to:
- Maintain and manage accurate agent data into database (CRM and SIMS), to ensure applications can be linked to the correct agency and commission paid according to agent contract terms.
- Co-ordinate new agent contracts and set up new agency records in SIMS.
- Provide quarterly reporting to facilitate contract renewals in line with compliance policies.
In addition to these three core functions, the Senior Admissions and Agent Coordinator may be required to support the wider International Admissions Centre with additional task as determined by the Head of International Admissions. These will include but are not limited to:
- Ensuring the provisions of an effective and efficient admissions service.
- Maintaining accurate records in accordance with requirements, ensuring compliance and maintenance of relevant systems.
Skills and attributes
- Intermediate excel capabilities consisting of but limited to interpreting and writing nested IF formulas with multiple conditions, creating graphs and pivot tables.
- Highly analytical with outstanding attention to detail and ability to balance a diverse workload while working with precision.
- Able to work in a methodical and structured way.
- Ability to use existing report templates and create new templates as required.
- Good organisational and time management skills; scheduling and prioritising multiple projects and tasks with varying deadlines, and within specified time frames.
- An ability to work using one’s own initiative as well as being a good team player.
- Ability to manage information confidentially and sensitively.
