Job description:

  • Manage the complete process for prospective families from lead enquiry to long term effective parent retention
  • First point of contact for potential families
  • Receive enrolment inquiries and provide information and advice to prospective families
  • Build positive relationship with potential families and win their trust by providing efficient and exceptional customer service
  • Organize and conduct school tours, (virtual) meetings and interviews providing an effective and customer-focused approach to ensure a personalized experience for prospective students and their families
  • Be the face of the school for potential and existing families, their representatives or agents
  • Follow-up from school tours and meetings in a timely manner ensuring that high-quality customer care is provided and maintained
  • Apply the BBIS enrolment policy and procedures
  • Effectively use OpenApply to track all stages of student’s admissions from enquiry to enrolment
  • Ensure a seamless transition from enquiry to admission for all students liaising with all relevant parties to ensure a smooth transition/induction of new families, and support arrangements for new starters
  • Arrange and administer online or in-person academic testing as required
  • Daily use of systems like OpenApply, ManageBac and ISAMS for data entry and data management
  • Monitor and maintain admissions statistics and assist in producing reports as required
  • Develop and demonstrate a comprehensive and up to date product knowledge of the school and the IB curriculum
  • Proactive approach to the enrolment process
  • Assist with the organization of promotional opportunities to increase enrolment numbers
  • Frequent reviews of the admissions process putting forward recommendations to Director of Marketing and Communications for improvements
  • Attend events and tradeshows to recruit new students
  • Support new family/student orientation events each year
  • Observe the confidentiality of information at all times
  • Promote and adhere to the BBIS mission statement and values

 Your profile:

  • At least 3 years of professional experience within a customer-focused, transaction-based administration process
  • Admission experience in the international school sector is desirable
  • Comfortable using major business software applications and CRM software (Microsoft Office, G-Suite, OpenApply or similar programs)
  • Experience of having worked within a service delivery sector
  • Familiar with international schools or affinity with the education sector
  • Excellent written and spoken English language skills, very good German language skills
  • Self-motivated, flexible and adaptable
  • Excellent organizational skills and great attention to detail
  • A people person with a warm and friendly nature
  • Ability to handle stressful situations with confidence and a smile
  • Team player, resilient, positive & with a growth mindset
