Executive Assistant to the CEO


ANNUAL SALARY
£14,857 (FTE £26,000)


HOURS
20 hours per week (Monday to Friday). Arrangement of hours to be mutually agreed in advance. Please note that the exact configuration of the week may vary depending on the schedule of the CEO

PURPOSE OF JOB
This administrative role will run the executive office and manage a range of areas and projects that report into the CEO. This role facilitates the work of the Executive.


Job Description

Provide executive support to CEO and Executive Office:

  • To provide high-level secretariat support to key internal and external meetings involving the CEO and the Executive, including preparing agendas, co-ordinating or writing papers, producing minutes, and ensuring follow-up actions are progressed.
  • To ensure that the CEO is fully briefed in advance of meetings and events including recommending solutions where appropriate.
  • To maintain a diary for the CEO, making necessary travel, meeting and other arrangements for appointments.
  • Review and send communications including, emails, post and phone calls on behalf of the CEO.
    To help collect, design and prepare presentations for the CEO.
  • To find better, faster and more efficient ways of doing things.
  • To help the Executive save time and work more efficiently.
  • Make travel and accommodation arrangements on behalf of the Executive team.
  • Additional tasks as required by the CEO or the Executive Office that fall within the capabilities of the post-holder.
     

Projects:

  • Research, collate and prepare information and reports as directed by the CEO.
     

Oversight of space utilisation:

  • Oversee and manage the deployment of space in the building.
  • Monitor and report on the utilisation of space in the building.
     

Customer feedback:

  • To manage and redesign our Customer (student) feedback, generate surveys from the student records system, analyse the results and provide written reports for the CEO, Senior Management Team and Board.
  • To prove knowledge and impartiality of what students think of IH London classes and their overall experience, which is vital to assessing the quality of our work and our charitable impact.

Person Specification

You will be commercially minded and educated to degree level (or equivalent) and keen to join an exciting and multicultural organisation where you can make a real difference and grow your career.  You should have a commitment to support the CEO and run the Executive Office whilst also be able to operate on your own initiative with limited direct supervision.

a) Experience and Qualifications

  • First degree or equivalent
  • Experience of working in an administrative capacity
  • Experience of writing reports, taking minutes and processing information an advantage


b) Skills, Knowledge and Competencies

  • Write coherently, summarising information, getting across the key points in a concise style of professional English 
  • Must be able to work collaboratively, with a range of colleagues in the wider organisation, as well as with external stakeholders.
  • To have attention to detail but works efficiently and to deadlines.
  • Strong analytical and numerical skills and the ability to interpret management information and make recommendations for actions.
  • Strong organizational and project management skills, including setting and working to deadlines.
  • Excellent and clear communication skills
  • Good Microsoft Word, Excel and Outlook skills
  • To be proactive and able to prioritise workload and activities and make decisions under pressure
  • Maintain absolute discretion and confidentiality
  • To act diplomatically and to be able to influence people
  • To be able to work on own initiative and unsupervised
  • Strong sense of customer focus and responsive to customer needs
  • Ability to demonstrate a, ‘can do’ attitude by seeking creative solutions
  • Gathering information, understanding it and processing it / sharing with the relevant people.
