Implementing and coordinating the processing of student applications and administration at Xenophon College London.
The post-holder will organise the day-to-day aspects of Admissions and Administration, liaising with various internal, external stakeholders and senior management. They will also assist with the development and implementation of both admission and administrative processes in order to ensure a consistent, transparent and positive stakeholder experience. The post requires a commitment to providing a high level of service to all stakeholders, internal and external
Main Requirements
We are looking for an experienced admissions and administrations officer with previous experience in an HE environment, with a clear track record of high-quality student engagement, experience in administration management, student information systems, as well as experience of higher education regulations and requirements
Main duties and accountabilities:
Reporting to the Registrar, to be responsible for all aspects of the administration and processing of applications to Xenophon College London, including:
·      Providing professional advice and guidance on admissions and recruitment processes andprocedures
·      Use judgement, initiative and creativity to ensure appropriate processing of applications
·      Assessing qualifications (including contributing to defining academic requirements)
To undertake specific responsibilities relating to key areas of Admissions as defined by the Registrar to include, but not restricted to:
·           International Admissions, including liaison with UKVI, issuing CAS, maintaining awareness and understanding of UKVI policy and processes, English Language requirements and International applications
·           Criminal Convictions
·           Clearing, Confirmation and Enrolment
·           Monitoring and processing of UCAS/Direct applications
To support the Registrar in the generation and analysis of applications statistics, reports and papers, toinclude:
·           Maintaining an awareness and understanding of the current recruitment position and applicationfigures
·           An understanding as to how best to use relevant data reports and to contribute to developing and updating reporting in order to meet the needs of XCL
Ensure high standards of customer service, to include
·           Providing high-quality information, advice, and guidance to all prospective students
·           Maintaining a high standard of knowledge and awareness of Xenophon College London’s requirements and admissions processes
·           Representing Xenophon College London at internal and external events, including (but not limited to) Open Events, UCAS Fairs and Clearing events


  • Working with the Heads of School, set and implement assessment dates for all modules.  
  • Send assessment papers to External Examiners where required, for comment and record responses appropriately. 
  • Attend Examination Boards, taking minutes and recording actions. 
  • Assist with inputting and cross-checking of assignment scripts and returns. 
  • Support the development, and continuous improvement, of administration systems and processes. 
  • To undertake professional and personal development that is appropriate to the role
  • Any other duties as may be assigned from time to time by the Registrar or other senior management


 We are seeking to appoint an enthusiastic Admissions Officer, with proven experience of working in an Admissions/ Registry department within a UK HE provider.

The successful candidate will demonstrate a student-centred approach, be familiar with admissions processes and flows, international entry requirements and experience of the steps within the entire cycle of the admissions process.

In addition, they will be empathic, inclusive and understand the best approaches and practices to deal with prospective students’ needs.

All applicants must be qualified to undergraduate level and have a minimum of 3 years experience in a relevant department. They should be able to demonstrate a track record of successfully providing information, support and guidance to national and international students, both prospective and enrolled.

Applicants will be expected to work on our campus (London or Wye, Kent), dependent on the needs of XCL and Covid-19 restrictions. Working hours will be 9 am-5 pm.

Part-time/flexible working considered. Fixed-term contract.
