Job Description

 

Residential Accommodation and Teacher Training Administrator

 The role encompasses three areas of responsibility:

  1. Accommodation Officer (residences and transfers) – responsible for the placement of students into St Giles residential accommodation and associated student liaison and support
     
  2. Teacher Training Administrator – responsible for the administration of the St Giles Teacher Training courses at the London Highgate and London Central schools
     
  3. St Giles Educational Trust (SGET) Administrator – responsible for the provision of administrative support to the St Giles Educational Trust
     

The post reports to The Principal of St Giles London Highgate and the Director of the St Giles Educational Trust.

The post-holder will be based at: St Giles International London Highgate, 51 Shepherds Hill, London, N6 5QP.

Hours of work: 09:00 to 17:30 Monday to Friday. The post-holder may occasionally be required to work for a few additional hours at weekends and in such circumstances, time off in lieu will be granted.

Salary: £25,000 per annum

First Year annual leave allowance: 20 days per year plus bank holidays

 

Main duties

1. Accommodation Officer (Residences and Transfers)

  • The post-holder will take responsibility for student bookings at residences used by St Giles London Highgate. This includes the following regular duties:
  • Acting as the main point of contact for the school’s residences and providing a weekly arrivals/departures list to each of them
  • Dealing with changes to student enrolments, including amending invoices and issuing refunds in relation to residential accommodation and keeping the residences informed of any changes
  • Keeping accurate records relating to residence and welfare issues and representing the residences at departmental meetings
  • Dealing with any customer complaints in an efficient and timely manner
  • Ensuring the highest possible occupancy rate with a view to maintaining the profitability of all residence accommodation, as well as related monitoring and regular reporting to the Principal
  • Providing full cover for the Accommodation Officer (Home-stay) role as and when required
  • Assisting the Accommodation Officer (Home-stay) with host family recruitment and home visits
  • Taking part in the telephone rota (in conjunction with other administration staff) for student emergencies which occur outside of office hours 
     
  • Assisting with the issuing of home-stay confirmation letters during busy periods
     
  • Organising the taxi transfers for the students as well as group arrivals: this includes liaising with the transfer companies, dealing with any complaints from students and checking related invoices
     

 

2. Teacher Training Administrator

For the Cambridge CELTA and other SGET teacher training courses at St Giles London Highgate and St Giles London Central, the post-holder will be responsible on a daily basis for:

  •  Playing a proactive role in the promotion of the teacher training courses, including via effective use of web channels and social media
  •  Responding to web, telephone and personal enquiries from candidates and agents
  •  Arranging interviews, greeting interviewees and liaising with teacher training staff: This includes liaising with management at London Central to organise cover for interviews when the Head of Teacher Training St Giles London is not available
  •  Processing enrolments for teacher training courses
  •  Collecting payments from teacher training course candidates and liaising with the St Giles Educational Trust Finance officer regarding payments
  •  Acting as the first point of contact and information for participants and alumni of teacher training courses at St Giles London Highgate/Central
  •  Organising open evenings, taster days, the Saturday grammar courses and other events linked to the Cambridge CELTA
  •  Liaising with Teacher Training Administrators at the other UK centres of St Giles and the St Giles Marketing Department, to ensure that the teacher training courses are promoted and presented in a positive and consistent manner
  •  Promoting/advertising the free classes for ‘practice students’ for the teacher training courses
  •  Distributing information about job opportunities to current trainees and liaising with the St Giles Educational Trust’s teacher recruitment partners

 

3. St Giles Educational Trust (SGET) Administrator

Administration duties for the SGET include:

  • Arranging and servicing trustee and other St Giles Educational Trust meetings
  • Making travel arrangements for the Director and St Giles teacher trainers who are involved in the Trust’s overseas projects
  •  Providing general administrative support for all areas of the Trust’s charitable activities, to the Director of the Trust and (on occasions) to the consultant to the Trust
  •  Taking administrative responsibility for the organisation of the ‘Teachers’ Tuesday Club’
  •  Updating and maintaining the Trust’s social media sites (including facebook, twitter and linkedin) and undertaking basic editing of the Trust’s web site (currently in WordPress, soon to be in WIX)

 

4.    General duties assigned to the post

 As a member of the front office team at St Giles Highgate, the post-holder will also be involved in dealing with general enquiries from current or prospective students of St Giles International and other visitors

  • On occasions, the post-holder may be requested by the Principal of St Giles London Highgate, the Managing Director of St Giles, the Director and trustees of the SGET or the founder of the SGET to undertake other administrative duties as appropriate to their skills and experience.
  • The post-holder will undertake all his/her duties in accordance with relevant legislation, St Giles’ company guidelines and the requirements of external inspection. He/she will maintain a high standard of customer service at all times

 

Person Specification

 The following experience, skills and personal qualities are essential for the post:

  • Experience in a senior administration role including in areas which are relevant to the post as described
  • Strong communication skills, both written and spoken: this includes a level of competence in English language which is appropriate to the requirements of the post
  • Sound knowledge and experience of using social media for promotion
  • Good analytical and problem-solving skills
  • Excellent organizational skills
  • Computer literacy (MS Office is essential)
  • The ability to work independently and as part of a team
  • The ability to work under pressure and to prioritise effectively amongst a diverse workload
  • Reliability and a positive, proactive and energetic approach to work

 

The following would be an advantage:

  •    Experience in an administrative role in an education environment (private or public sector)
  •    A recognized TESOL qualification
  •    Experience of using Class for Window
  •    Operational competence in a second language (particularly Spanish)
  •    Experience in a marketing role and/or knowledge of web marketing and search engine optimisation
